We are looking for a Virtual Accounts Receivable Manager to join our team

What We Offer:

• Flexible part-time opportunity, estimated 3 hours/day, M-F

Compensation:

• $300/week for approximately 20 hours/week

• Increase in pay negotiable after 90-day trial period

Key Responsibilities:

• Patient Encounter Tracking: Create, maintain, and update spreadsheets daily to track all patient encounters 

• Insurance eligibility reports: Verify patient insurance info is active and provide list of co-pays and deductible payments to be collected by office daily

• Insurance claims tracking: Record insurance claim payments daily

• Resolve outstanding insurance claims: Check insurance claim status via phone or insurance portal and make sure all documents get submitted or any issue resolved promptly; keep office manager updated

• Send out patient statements every week: Easily done through portal 

• Track all outstanding payments and payments received: update list weekly

• Assist in collecting outstanding patient payments: Send letters through our portal; keep list for office manager

What Success Looks Like in This Role:

• Update all patient encounters and payments accurately and daily

• Insurance eligibility checks done daily and provide accurate list of payments to collect to office each day

• Ability to identify issues with outstanding insurance claims

• Help us collect outstanding patient balances by keeping accurate and up-to-date lists

• Consistently maintain HIPAA compliance and patient confidentiality

• Maintain organized spreadsheets and provide timely reports to physicians

• Commitment to accuracy and attention to detail

This is ideal for someone who is looking to earn some extra cash and has 2-3 quiet hours during the day to do computer work and update spreadsheets. This job does not require any direct interaction with patients.

We’re Looking For Someone Who:

• Is comfortable with technology, learning new software, and troubleshooting basic issues

• Shows strong attention to detail and organizational skills

• Can work independently and manage time effectively from home

• Is reliable, efficient, and maintains professional standards in a remote environment

• Has experience with medical insurance claims billing or is very willing to learn quickly 

You Would Be a Poor Fit for This Position If:

• You struggle with technology or learning new software systems

• You need constant supervision or have difficulty working independently

• You prefer face-to-face interaction over phone and digital communication

• You have difficulty staying organized

• You dislike spreadsheets

• You’re unwilling to learn about insurance eligibility and claim denials

Dr. Karen Wolowick is the founder and CEO of MAIA gynecology. She is an OBGYN who started her own private practice after leaving corporate healthcare in 2020. She is a die-hard feminist who is passionate about helping women empower themselves to take control of their health and fertility. MAIA is a small private practice in Downers Grove, IL. There are currently 2 physicians and one physician-assistant. We will add another part-time doctor in 2026. We have 2 doctors working each day and see about 30 patients daily. We strive to make our patients feel comfortable and cared for.
