English/Spanish Our Personal Injury Law Firm is growing, and we are looking for an experienced virtual assistant to help us stay organized, handle fast-paced projects with a smile, and provide high-quality work under pressure. This position plays a critical role in opening cases, managing documentation, and ensuring timely communication with providers and clients. The ideal candidate will have a strong grasp of administrative processes, HIPAA compliance, and legal case workflows. The successful candidate will have some remote administrative support experience, a positive problem-solving attitude, and superb customer service and communication skills.   • Answer, screen, and return phone calls in a professional manner
  • Ensure HIPAA compliance across all documentation and communications.
  • Open new cases and upload related documentation into our Case Management System.
  • Send NORs (Notices of Representation) to carriers.
  • Request medical records and billing information from providers.
  • Post incoming faxes and updates into MyCase.
  • Review and track records via ChartSwap.
  • Follow up with providers regarding pending requests and NOAs (Notices of Assignment).
  • Maintain ongoing communication with clients and provide accurate, timely updates on case status.
  • Support smooth coordination between clients, providers, and internal legal staff.
Qualifications:
  • Must be productive in a home office/virtual office environment with a reliable internet connection and proficiency with remote or cloud-based tools such as instant messaging, Skype, Zoom, and Google Suite
  • Experience in a legal, medical, or administrative setting (personal injury experience preferred).
  • Proficiency in legal practice management software (MyCase or similar).
  • Familiarity with HIPAA and handling sensitive client information.
  • Strong communication and organizational skills.
  • Ability to multitask and manage time effectively in a remote environment.
  • Bilingual in English and Spanish.

  • Proper and prompt posting of documents and faxes.
  • Adherence to protocols and follow-up schedules.
  • Quality of updates delivered to clients and attorneys.
